TCSS Business Systems Needs and Recommendations Study - 2020

 

PHASE I - ANALYSIS AND RECOMMENDATIONS: Survey TCSS members to define current tasks they perform including details about how it is performed, automated systems used, upgrades suggested. Summarize and prioritize these, present to Board for review and input. Briefly assess current TCSS systems to determine if they meet needs and prioritize tasks for automation. Present recommendations to Board by June board Meeting to proceed with Phase II, Identify Solutions.

  • Phase I Task Team: Joe Frannea (leader), Dick Wiedhopf, Keimpe Bronkhorst, Linda Heisley, Doug Rowsell
  • Phase I Data Input Contributors: All TCSS Board and Committee Chairs

PHASE II – IDENTIFY SOLUTIONS: Search for and identify specific systems/software/hardware for each task designated as important or critical. Systems that can handle multiple tasks are preferred. Estimate and document money required to develop, implement and maintain each system. Estimate should be for a period of a minimum of two years.

  • Phase II Task Team: TBD
  • Plan to start June 10th and complete by August 11th (for Board Approval- August Board Meeting)

PHASE III – IMPLEMENTATION: For each Board approved system, form teams for implementation of the top two or three important and critical systems to be done first. A phased implementation of systems/software/hardware over several months will be required. Training for operations and maintenance will be included.

  • Phase III Task Team: TBD
  • Plan to start mid August
  • Functions and systems to be implemented in stages, estimate 4 to 8 months total depending on tasks to address and complexities.

  • Finalize Forms to Collect Task Data - March to April, 2020 (completed)
  • Collect Task Data - April to May, 2020 (completed May 22nd)
  • Analyze/Summarize Task Data - June, 2020 (in progress, share with Board and Committees)
  • Get Board approval on proposed Priorities and to proceed to Phase II (June 9, 2020 Board Meeting)
